1. Acceptance of Terms

By accessing or using the Voyera platform (voyera.com), you agree to be bound by these Terms of Service. Voyera is operated by Voyera Holdings OÜ, a company registered in Estonia. If you do not agree to these terms, please do not use our services.

2. Our Service

Voyera is a booking marketplace that connects guests with ski accommodation providers in Japan. We facilitate bookings between guests and property managers but do not own or operate the properties listed on our platform. Property availability, descriptions, and facilities are provided by the property managers and are subject to change.

3. Booking & Payment

When you make a booking through Voyera, you enter into a direct agreement with the property provider. Voyera acts as the payment facilitator. All prices are displayed in Japanese Yen (JPY) and payments are processed in Euros (EUR) through Stripe.

Payment is structured as follows:

  • Bookings made 61+ days before check-in: A 20% deposit is charged upon booking confirmation. The remaining 80% balance is due 60 days before check-in.
  • Bookings made 15–60 days before check-in: Full payment (100%) is charged upon confirmation.
  • Bookings made within 14 days of check-in: Full payment (100%) is required at the time of booking request. If the property does not confirm, a full refund is issued.

For “Request to Book” properties, your card is saved securely and only charged after the property confirms your booking. For “Book Now” properties, payment is processed immediately upon booking.

4. Cancellation Policy

Voyera applies a standardised cancellation policy to all bookings. The policy is designed to balance flexibility for guests with fairness to property providers:

  • 4-day cooling-off period: Free cancellation within 4 days of booking confirmation (provided check-in is 15+ days away). Full refund of all payments.
  • After the cooling-off period: The 20% deposit becomes non-refundable. The balance (80%) remains refundable until 60 days before check-in.
  • Within 60 days of check-in: All payments are non-refundable.
  • Last-minute bookings (within 14 days of check-in): Fully non-refundable. However, if the property does not confirm the booking, a full refund is issued automatically.

5. Currency & Exchange Rates

All accommodation prices are displayed in Japanese Yen (JPY). An approximate Euro (EUR) equivalent is shown for reference. The final charge is processed in EUR at the exchange rate applicable at the time of payment. Exchange rates may fluctuate between the time of booking and the time of balance payment. Voyera is not liable for any exchange rate differences.

6. Guest Responsibilities

You are responsible for providing accurate personal information at the time of booking, complying with the property's house rules and check-in/check-out times, ensuring all guests in your party are aware of and comply with the property rules, and reporting any issues with the property to Voyera within 24 hours of check-in.

7. Limitation of Liability

Voyera acts as an intermediary between guests and property providers. While we vet all properties on our platform, we cannot guarantee the accuracy of property descriptions, availability, or the quality of accommodation. To the maximum extent permitted by law, Voyera Holdings OÜ shall not be liable for any indirect, incidental, or consequential damages arising from the use of our services or from your stay at any property booked through our platform.

8. Governing Law

These Terms of Service are governed by and construed in accordance with the laws of the Republic of Estonia. Any disputes arising from these terms shall be subject to the exclusive jurisdiction of the courts of Tallinn, Estonia. Voyera Holdings OÜ is the data controller and operator of the Voyera platform.

1. Data We Collect

When you use Voyera, we collect the following personal data:

  • Account & booking information: Name, email address, phone number, postal address, date of birth, nationality, and passport or ID details where required by the property.
  • Payment information: Card details are collected and processed securely by Stripe. Voyera does not store your full card number — only a tokenised reference and the last four digits for your records.
  • Usage data: Pages visited, search queries, booking interactions, device type, browser type, and IP address for analytics and service improvement.
  • Communications: Messages sent through our contact form or email correspondence with our team.

2. How We Use Your Data

We use your personal data to:

  • Process and manage your bookings, including communicating reservation details to property providers.
  • Process payments via Stripe and send transaction confirmations, invoices, and payment reminders.
  • Provide customer support and respond to your enquiries.
  • Send transactional emails (booking confirmations, balance payment reminders, cancellation notices).
  • Improve our platform, analyse usage patterns, and develop new features.
  • Comply with legal obligations, including tax reporting and anti-fraud measures.

3. Stripe Payment Processing

All payments are processed through Stripe, Inc. When you provide your card details during the booking process, this information is transmitted directly to Stripe's secure servers and is subject to Stripe's Privacy Policy. Voyera stores only a tokenised payment method reference and basic transaction records (amount, currency, status) for booking management and reconciliation purposes.

4. Data Sharing

We share your personal data only with the following parties and only to the extent necessary:

  • Property providers: Your name, contact details, and booking information are shared with the property where you have made a reservation.
  • Stripe: Payment card details for processing transactions.
  • Resend: Your email address for sending transactional emails.
  • Legal authorities: When required by law or to protect our legal rights.

We do not sell your personal data to third parties or use it for advertising purposes.

5. Data Retention

We retain your personal data for as long as necessary to provide our services and fulfil the purposes outlined in this policy. Booking records and associated payment data are retained for a minimum of 7 years for tax and legal compliance purposes. Usage data and analytics are retained in anonymised form. You may request deletion of your account data at any time, subject to our legal retention obligations.

6. Your Rights Under GDPR

As Voyera Holdings OÜ is established in the European Union, your data is processed in accordance with the General Data Protection Regulation (GDPR). You have the right to:

  • Access: Request a copy of the personal data we hold about you.
  • Rectification: Request correction of inaccurate or incomplete data.
  • Erasure: Request deletion of your personal data (subject to legal retention requirements).
  • Portability: Receive your data in a structured, machine-readable format.
  • Objection: Object to processing of your data for specific purposes.
  • Restriction: Request restriction of processing in certain circumstances.

We will respond to all data requests within 30 days as required by GDPR. If you are not satisfied with our response, you have the right to lodge a complaint with the Estonian Data Protection Inspectorate (Andmekaitse Inspektsioon).
